Understanding the Activity Log in SpotDraft

The Activity Log in SpotDraft is a powerful tool for tracking the history of your contracts and facilitating collaboration among your team.

This guide explains how to use the Activity Log to stay informed about contract changes, see who's involved in a contract's progress, and even participate in discussions directly.

What is the Activity Log?

The Activity Log provides a chronological record of all actions taken on a specific contract within SpotDraft, such as contract edits, file uploads, approvals, invitations, user messages, etc.

Benefits of the Activity Log:

  • Transparency: The Activity Log provides a complete history of the contract, ensuring everyone is on the same page.
  • Improved Internal Collaboration: Team members can see who is working on the contract, stay informed about progress, and coordinate their efforts more effectively. 
  • Recording External Communication: Team members can see any communication going out or coming from the counterparty related to the contract.
  • Audit Trail: The Activity Log serves as a valuable record for regulatory or compliance purposes.

How to Use the Activity Log:

  1. Access and Review the Activity Log:
    • Open the Contract Record for the contract you want to view.
    • The Activity Log is located on the right side of the screen.
    • Scroll through the Activity Log to see a chronological list of actions.
    • Each entry includes the user who performed the action, the date and time, and a brief description of the action.
  1. Start a New Conversation:
    • The Activity Log is not just a history; it also allows you to engage in conversations with other users who have viewed or worked on the contract.
    • Type your message in the text box at the top of the Activity Log.
    • Click the arrow icon to send your message.
  1. Reply to a Conversation Thread:
    • To reply to a message left by another user, click the "Reply" button next to the message.
    • Write your reply and click on the arrow icon.
    • You can also tag users in your replies using the "@" symbol. This will send notifications to the tagged users about the conversation.
    • Note: All participants in a conversation thread, including the author and any tagged users, will receive notifications whenever a new message is added.
