Setting Contract Title Formats on SpotDraft

This article guides you on customizing the naming convention for contracts created within SpotDraft workflows. This allows for better organization and identification of your contracts. This guide assumes a medium level of familiarity with the SpotDraft platform.

Customizing Contract Titles

To modify the naming convention for your contracts, follow these steps:

  1. Access Workflow Manager: Navigate to the "Workflow Manager" section within your SpotDraft account.
  2. Select a Workflow: Choose the workflow for which you want to customize the contract title. The ability to customize the naming convention is available for both Template Workflows and Third-Party Paper Workflows.
  3. Open Workflow Settings: Click on "Workflow Settings" to access the configuration options for the selected workflow.
  4. Contract Title Format: Locate the "Contract Title Format" section. This is where you define the elements included in the contract's title. By default, if no specific format is selected the counterparty name will be used.
  5. Choose Your Variables: Select from the available variables to create your desired title format:
    • Counterparty Name: The name of the counterparty involved in the contract.
    • Contract Type: The type of contract (e.g., NDA, Service Agreement).
    • Creation Date: The date the contract was created.
    • Business User: The SpotDraft user who created the contract.
    • Brand Name: The brand name of the counterparty involved in the contract.
    • Entity: The name of your entity that is contracting with the counterparty

You can also add text between the variables you have selected, once you have completed setting the format, click on Save.

  1. Save and Publish: Once you have selected your preferred variables, click "Save." Then, click "Publish New Changes" to apply the new naming convention to all future contracts created using this workflow.

Important Note: The changes to the contract title format will only affect contracts created after the workflow is republished. Existing contracts will retain their original titles.
