Can I delete a specific version of a document?

Overview

SpotDraft maintains a complete, auditable version history for every contract throughout its lifecycle, including during the redlining stage. This version history is a permanent record of every document iteration — who uploaded it, when, and what changed — and is intentionally designed to be immutable.

Currently, it is not possible to delete an individual version of a document that is in the redlining stage (or in any other stage). This applies to all versions: internally uploaded versions, counterparty-uploaded versions, and versions created via the inline editor.

Why Can't I Delete a Version?

SpotDraft's version history serves as a legal audit trail. During redlining, both parties exchange document versions as part of a negotiation record. Deleting a version from this history could:

  • Remove evidence of what was agreed or proposed at a specific point in time.

  • Break audit continuity — the activity log references specific version numbers, and removing a version would leave gaps.

  • Cause inconsistency for counterparties who may have already downloaded or referenced that version.

For these reasons, SpotDraft treats version history as append-only during the redlining process.

What Can I Do Instead?

While you cannot delete a version, here are the available actions:

1. Upload a Corrected Version

If a version was uploaded by mistake or needs to be replaced, simply upload a new version with the corrected document. The new version becomes the active one, and the previous version moves to history but remains visible in the version timeline.

How to do it: Open the contract → click Upload New Version → select your corrected file → confirm.

2. Use the Inline Editor to Make Corrections

If the error is minor (a few words, a clause change), you can edit the current version directly using SpotDraft's inline editor (OnlyOffice) and publish a new version from there, rather than uploading a separate file.

3. Contact Your SpotDraft Administrator

For situations where an incorrect or sensitive file was accidentally added to version history, reach out to your SpotDraft workspace administrator. In exceptional cases, the SpotDraft support team may be able to assist — contact support@spotdraft.com with the contract details and the version in question.

Note: If you accidentally uploaded a confidential or sensitive document as a new version, reach out to support as soon as possible to limit unintended access.
