How to create a report for contracts expiring in 90 days

To generate a report showing contracts that will expire within the next 90 days, you'll need to create a filtered view and then export it as a report. The filter will only return contracts where the Expiration Date field is properly populated.

Step 1: Create a View with Expiring Contracts Filter

  1. In the SpotDraft repository, click on the "sandglass" icon to access the available search filters

  2. Select "Dates" from the filter dropdown

  3. Choose "Date Expiring" and select "Next 90 days" (or use a custom date range if needed)

  4. Once the filters display the desired contracts, click "Save As New View" and give it a descriptive name like "Contracts Expiring in 90 Days"

Step 2: Sort the View (Optional)

If you want your report sorted chronologically by expiration date:

  • Make the Expiration Date column visible using the "Manage Columns" option in the top right

Note: Column names do not display special characters including brackets [ ], parentheses ( ), or characters like ? or @. If a field label includes these characters, they will be omitted from the column name in the Repository view.

  • Click the Expiration Date column header to sort ascending or descending

  • The sort order will be preserved in the generated report

Step 3: Generate the Report

  • From your saved view, click the "Generate Report" button and select "One-time report"

  • Choose your export options:

Export as: One excel sheet for all contract types OR separate excel sheets for each contract type

Export format: CSV or EXCEL (XLSX)

Select columns: All columns OR only columns visible in your current view

  • Click "Generate" to create and download the report file

Note: Metadata fields only appear in reports when at least one contract has a value populated for that field. If an expected field is missing from your report, create a test contract with a value for that field and regenerate the report to verify the field will now appear.

Alternative: Set Up Automated Reports

For ongoing monitoring, you can enable automatic weekly email reports for contracts expiring in 90 days. This can be configured in the Contract Type settings under the Email section.

The generated report will include hyperlinks back to SpotDraft and can be easily shared with stakeholders for renewal planning and contract management.
