Managing Pending Contract Actions With a User
Learn how to efficiently manage pending contract actions in SpotDraft. This step-by-step guide will walk you through using the 'Assigned to' feature, allowing you to streamline your workflow and take prompt action on crucial tasks.
What is the ‘Assigned to’ feature?
The ‘Assigned to’ feature allows you to filter contracts based on the person or team responsible for pending actions, such as drafting, sending, approving, signing, and completing contract reviews. You can either filter directly by the user or add a column to the grid to identify the current assignee for each contract.
What are the differences between legal users, business users, and assigned to?
SpotDraft classifies users into three types:
- Business user: The business user is the contract owner, responsible for all relevant actions and notifications related to the contract they own.
- Legal user: The legal user is the person who is responsible for reviewing the contract. There may be multiple editors, but the legal user has the final say.
- Assigned to: The ‘Assigned to’ field indicates who the contract is currently pending with.
How to use the ‘Assigned to’ feature
To check any contract-related tasks assigned to a legal, business, or specific user or team, follow these steps:
Step 1: Navigate to your SpotDraft repository and click on the ‘Filter’ icon.
Step 2: Access the ‘Contract Users’ dropdown.
Step 3: Select the user type you want to filter contracts for: ‘Business User,’ ‘Legal User,’ or ‘Assigned To.’
Step 4: Choose the specific user or team from the dropdown.
Step 5: Your contract repository will display contracts with pending action items associated with the selected user.
Alternatively, to filter contracts assigned to you, click on the ‘Assigned to me’ checkbox in your repository grid view. All contracts with pending items assigned to you with the corresponding status will be displayed.
Step 6: To address any pending tasks, click on the contracts displayed under the specific user. Then, navigate to the ‘Contract Status' window on the left and proceed with the required action item.
Completing each required activity for a contract in this section will remove it from the list.
