When creating contracts, users often end up generating multiple versions of the same company or individual, referred to as counterparties. This can lead to clutter and confusion, particularly when initiating new contracts and having to select from multiple counterparty options.
How to Archive Counterparties
Follow these steps to archive a counterparty:
- Quickly search by using 'Cmd+K' (Mac) or 'Ctrl+K' (Windows) and type "Counterparties". Alternatively, from the sidebar, navigate to "Manage" > "Contract Attributes", and then click on "Counterparties".
2. Choose the desired counterparty under the "Active" tab and click on "Archive."
3. A confirmation pop-up will appear to ensure that you want to proceed. It will outline the effects of archiving.
- After archiving, the counterparty will be moved to the "Archived" tab.
Impact of Archiving
- Archived counterparties cannot be selected for creating new contract workflows such as "Template contract", or "Upload third party contract", or for sending the contract for signature.
- To make changes, users cannot edit an archived counterparty. Instead, the counterparty must be restored.
- Ongoing or executed contracts with archived counterparties remain unaffected and progress normally. You can still search for these contracts, and the archived counterparty will still show up in search and repository filters.
- Issue with Archiving & Contract Generation: If a counterparty is archived while a contract questionnaire involving them is in progress, finalizing the questionnaire will result in contract generation failure.
- Users can restore the archived counterparty at any time if needed.
Restoring Counterparties
Steps to restore a counterparty:
1. Quickly search by using ‘Cmd+K’ (Mac) or ‘Ctrl+K’ (Windows) and type "Counterparties". Alternatively, via the sidebar, navigate to "Manage" > "Contract Attributes" and then click on "Counterparties".
2. Select the desired counterparty under the “Archived” tab and click on “Restore”.
- After restoring, the counterparty will be moved to the “Active” tab.
Once the counterparty is marked as 'Active' again, it becomes selectable for new contract workflows under “Template Contract”, “Upload Third Party Contract”, and “Send for Signature”.
