Viewing Recent Edits in SpotDraft

SpotDraft keeps you in the loop about the latest changes made to your contracts. This guide explains how to view recent edits, even if they haven't been formally published yet.

Who is this guide for?
This guide is for all SpotDraft users who work with contracts, including administrators and general users.

How SpotDraft shows you the latest edits:

  • Banner Notifications: When someone makes edits to a contract, a banner will appear at the top of the Contract Record. This banner gives you a quick overview of the edits and tells you:
    • Published Edits: If the contract has a recently published version, the banner will inform you about the new version number.
    • Edits in Progress: If a user is currently editing the contract, the banner will show you that edits are being made.
    • Draft Edits: If edits have been made and saved as a draft, the banner will tell you the latest draft version number.

Viewing Edits when there is a draft:

SpotDraft offers two ways to see the latest edits to your contracts:

  • On Contract Preview:
    • If a draft is present, you will see a dropdown visible on the banner above the contract preview. 
    • You can flip the preview between Draft and Published versions. 
    • Please note that any actions that you take will be on the Published versions only. 
  • Directly in the Editor:
    • Click the "Edit" button at the top of the Contract Record.
    • This will open the contract in either the online editor (OnlyOffice or Microsoft Office for Web).
    • The changes made by other users will be visible directly in the editor.
  • Downloading the Latest Draft:
    • To download a specific draft version of the contract, click on the "Contract Version History" button.
    • This will open a window where you can view the history of the contract.
    • Click on the "Download" button next to the draft you want to access.

Important Notes:

  • Not all edits are immediately visible: If a contract has been edited using the offline Word editing feature, the edits will not be visible on SpotDraft until the user saves the changes as Draft by explicitly saving on Word or completely close Word at their end. 
  • Draft edits are not published: Users who edit contracts using the online editor can choose to save their edits as a draft, without publishing them to the main contract version. The presence of draft edits will be visible in the banner and will not become part of the official contract until the user chooses to save them.
