Creating Guides in VerifAI

Introduction

This guide explains how to create VerifAI Guides within the DraftMate and VerifAI plugins for Microsoft Word. Guides (also known as playbooks) are collections of guidelines or rules that your organization follows when reviewing legal contracts, ensuring consistency and compliance. This article is aimed at contract managers, legal operations professionals, and administrators who manage contract review processes.

Prerequisites

  • For VerifAI Personal users - You must have the VerifAI plugin installed in Microsoft Word.
  • For VerifAI for Teams (SpotDraft CLM users) - You must have access to SpotDraft and have the DraftMate plugin installed in Microsoft Word.

Steps to Create a Guide

  1. Open Microsoft Word:
    • Open an existing document from your computer using Microsoft Word.
    • OR Open a contract document from SpotDraft using the "Edit with Microsoft Word for Desktop" option. (This opens the document in the Microsoft Word desktop application directly from SpotDraft.)
  2. Open the plugin:
    • For VerifAI Personal users - Click the VerifAI icon on the Word ribbon. You can typically find this on the "Home" section of the ribbon. If you don't see it there, check the "Add-ins" section.
    • For VerifAi for Teams users - Click the DraftMate icon on the Word ribbon.
  3. Access the Guide Creation Area:
    • In the VerifAI plugin - Click on New Guide on the top right.
    • In the DraftMate In the plugin, click on the hamburger menu (three horizontal lines) located on the top-left of the plugin window. Then click on All Guides and then New Guide.
  4. Choose a Creation Method:
    • You have two options:
      • Start from Scratch: Manually create each guideline in the Guide.
      • Generate with AI: Let VerifAI analyze the contract that is open on Ms Word and suggest initial guidelines for the Guide.
  5. Create Your Guide:
    • If you chose "Start from Scratch":
      • Start writing your guidelines one by one.
      • Click the Test button to run a single guideline against the contract and see the results. This allows you to refine the guideline before saving.
    • If you chose "Generate with AI":
      • VerifAI will analyze the contract open in Microsoft Word and generate suggested guidelines.
      • VerifAI identifies key elements in the contract and creates guidelines based on them. Determine whether these guidelines are relevant and important for your organization's review process. It is crucial to review these guidelines manually and edit them as necessary.
  6. Save Your Guide:
    • Once you've added and refined your guidelines, save the Guide.
    • You can edit the Guide name, modify individual guidelines, or delete guidelines as needed.

Run your Guides for every new contract you receive and get a first pass review done in minutes.

VerifAI for Teams users can now map Guides to a workflow in their SpotDraft platform. This allows for automatically running the Guide for specific contract types during the review process.
