Deactivating SpotDraft User Accounts

Learn how you can temporarily deactivate SpotDraft user accounts and reactivate them when needed

You can temporarily deactivate SpotDraft user accounts when an employee is on extended leave or when an external consultant has performed their duties.

Deactivating a user temporarily revokes their access to your workspace. When you reactivate their account, it restores their previous settings and permissions.

 
💡
Before deactivating a user account, please note:
  • The user will lose access to your SpotDraft workspace.
  • If an invited user hasn’t created their account, the invite link will get revoked.
  • All default settings for the user, such as default signatory or approver, will be removed temporarily.
  • Team memberships and roles will remain unchanged, but the deactivated user will be marked as "Deactivated" in the appropriate sections.
  • Tasks and reminders assigned to the user will remain unchanged.
  • Any objects owned by the deactivated user will still be owned by them.
  • The deactivated user will continue to receive emails for any pending actions on the platform.
  • The deactivated user cannot take any actions on the platform, join new teams, or be assigned new contracts or tasks.
  • If the deactivated user attempts to log in, they will receive an error message indicating that their account has been deactivated.
  • Access to CRM integrations will be revoked.
  • Public API credentials/SCIM keys generated by deactivated users will be voided.
 

To deactivate a user, follow these steps:

 

Step 1:

Log in to your SpotDraft account with Admin rights.

 

Step 2:

Navigate to ‘Access Control’ under ‘Settings’.

Step 3:

Locate the user you wish to deactivate and click on the 3-dot kebab icon on the right.

Step 4:

In the user's profile, you will find an option to deactivate the user. Click on it.

A warning modal will appear, explaining the consequences of deactivation. Read the message carefully.

Confirm the deactivation. An email notification will be sent to the deactivated user with the subject: "Your SpotDraft profile has been deactivated."

 

To reactivate a user, follow these steps:

 

Step 1:

Log in to your SpotDraft account and follow the same steps as above to locate the user you wish to reactivate.

 

Step 3:

Click on the 3-dot kebab icon and reactivate the user.

A warning modal will appear, explaining the consequences of reactivation. Read the message carefully.

Confirm the reactivation. An email notification will be sent to the reactivated user with the subject: "Welcome back! Your SpotDraft profile was reactivated."

1. The reactivated user will regain access to SpotDraft with all previous settings and permissions intact. 2. No default settings will be restored. 3. The user will receive an email notifying them of the reactivation.
