Duplicating Workflows

Step-by-step guide

Now, you can effortlessly duplicate entire Template or Third Party Paper Workflows, including all elements associated with it like the Template Document, Questionnaire, and Approvals.

Step 1: Initiating the Workflow Duplication

There are two areas within SpotDraft from where you can start your Template and Third Party Paper Workflow duplication:

  1. Via Workflow Manager Page:
  • Navigate to the Workflow Manager page.
  • Locate the Workflow you wish to duplicate.
  • Click on the three-dot menu (⋮) beside the workflow's name.
  • Select "Duplicate Workflow" from the dropdown.

Note: You can duplicate an Third Party Paper Workflow and a Template workflow

  1. Directly from a Workflow Details Page for a Template Workflow:
  • Open the specific workflow you want to duplicate.
  • Click on the three-dot menu (⋮) on the upper right corner beside Workflow Settings.
  • Select "Duplicate Workflow" from the dropdown.

Both methods will start the duplication process, allowing you to create a new workflow with the same configuration as the original.

Step 2: Set Duplicate Workflow Details

Once you click on the “Duplicate Workflow”, a modal appears for setting up the new workflow.

  • Workflow Title: Automatically formatted as <original_workflow_name(Duplicate) >. You may modify it as needed.
  • Workflow Description: Retain the original description or update it. You can also add URL links for additional context.
  • Linked Contract Types: Select the contract types that needs to be linked to this new workflow.
  • After entering the required details, click on "Create Workflow".

Note: The Workflow Type is preset based on the original workflow (e.g., a duplicated Template Workflow remains a Template Workflow).

Step 3: Publish Workflow

  • A success message confirms the creation of the duplicate workflow, and you're redirected to its details page.
  • On the "Workflow Details" page you can further customize the workflow's name and description.
  • All approvals, the template document and its questionnaire are replicated.
  • If the original template lacks a document, you'll be prompted to upload one before publishing.

The duplication process accurately replicates all aspects of the Template Questionnaire, including the template document, Intake Form, and Approvals.
