Tasks & Reminders in SpotDraft is a built-in task management system for contracts, designed to help you create, track, and stay organized with ease.

This allows you to:

  1. Create Tasks: Generate tasks related to specific contracts or general contract management activities. Assign these tasks to either yourself or other team members.
  1. Set Reminders: Set reminders for tasks to ensure that you do not miss any important deadlines or actions required for your contracts.
  1. Monitor Progress: Easily track the status of your tasks and view upcoming deadlines in a centralized dashboard.
  1. Stay Organized: Tasks and Reminders provide a convenient way to stay organized and manage contract-related activities efficiently, streamlining the contract management process.

Creating a New Task

Here are the steps to create new tasks on SpotDraft -

Step 1: Click on the Task Center icon on the navigation bar located on the main grid. This will open a small window on the right side of the user's screen, which is the Task Center.

Step 2: Click on the "+New Task" button, located on the right side of the Task Center window.

Step 3: Fill out the questionnaire that appears, which includes fields for the task name, description, due date, priority level, and assignee. You can also add attachments/contracts and comments to the task if needed.

Step 4: Once you have filled out all the required information, click on the "Save" button. Your task will now be assigned and added to the Task Center.

Tracking Individual Tasks Associated with a Contract

To access individual tasks assigned to a user associated with a contract, follow these steps:

Step 1:

To view the tasks assigned to you for a specific contract, click on that contract.

Alternatively, you can track your tasks by clicking on the "Task Center" icon in your repository and navigating to "My Tasks".

Step 2:

This will display all tasks assigned to you that are associated with that particular contract.

Using Filters on the Task Center

Here are the steps for using filters in the Task Center feature on SpotDraft:

My Tasks: To view all your tasks, click on the "My Tasks" dropdown menu in the Task Center window and select the "My Tasks" option. This will also include tasks that you have assigned to other users on the workspace.

Assigned to Me: To view tasks that are assigned to you, select the "Assigned to Me" option from the "My Tasks" dropdown menu.

Upcoming tasks: To see upcoming tasks, click on the "Upcoming" button located next to the "My Tasks" dropdown menu. This will display any tasks that are due or pending.

How to set up reminders for tasks

To set up reminders for tasks, follow these steps -

Step 1: Navigate to the “Task Center” and open any of the pending tasks assigned to you or your tasks.

Step 2: Set up reminders before or after the due date for the selected task.

Step 3: Alternatively, you can also open any contract from the repository and navigate to the Task Center icon, located to the left of "View Contract".

Step 4: Now, click on the "+Add Task" button and fill in the empty fields, including the task title, contract name, assignee, and any notes, if applicable.

Step 5: Set a deadline for completing the task and include reminders before or after the due date.

Note: You can add up to five reminders to your tasks simultaneously. Adjust the reminders to snooze before or after the due date, depending on the urgency.

Managing the Task List

To edit or delete a reminder in SpotDraft, follow these steps:

Step 1: Click on the "Task Center" icon located to the right of the navigation bar on your SpotDraft repository.

Step 2: In the task center, select the specific task that you want to delete or edit.

Step 3: The task card will open, and you can delete or edit the task by clicking on the trash or pencil icons located next to the "Mark Complete" button.
