Duplicating Workflows in SpotDraft

Duplicating workflows in SpotDraft is a quick and easy way to create a new workflow based on an existing one. This is especially helpful when you need to create a workflow that's similar to one you already have but with a few changes.

How to Duplicate a Workflow

1. From the Workflow List View:

  1. Locate the Workflow Manager: Go to the "Workflow Manager" section of SpotDraft. You can find it by clicking “Manage”, then “Workflow Manager” on the side navigation.
  2. Locate the Workflow to Duplicate: Locate the workflow you want to use as a starting point in the grid view. It can be either a published or unpublished workflow.
  3. Click the Three-Dot Button: On the right-hand side of the workflow you want to duplicate, you'll see three vertical dots. Click on these dots to reveal a menu.
  4. Choose "Duplicate Workflow": From the menu, select the "Duplicate Workflow" option.

2. From Inside the Workflow Details:

  1. Locate the Workflow Manager: Go to the "Workflow Manager" section of SpotDraft. You can find it by clicking the "Workflow Manager" tab in the navigation menu.
  2. Select the Workflow to Duplicate: Locate the workflow you want to use as a starting point in the list view and click on it. It can be either a published or unpublished workflow.
  3. Select the Three-Dot Button: In the upper right corner of the workflow header, you'll see a three-dot button. Click on it.
  4. Choose "Duplicate Workflow": From the menu that appears, select the "Duplicate Workflow" option.

3. Edit the Workflow Details:

A new window will appear in both cases, where you can edit the details of the duplicated workflow.

  • Workflow Name: Give your new workflow a descriptive name.
  • Workflow Description: Provide a short summary of what the workflow does.
  • Linked Contract Type: Select the contract type that this workflow will be used for. 

Important: The workflow type of the duplicated workflow will remain the same as the original workflow. For example, if you duplicate a "Template Workflow," you cannot change it to a "Third-Party Paper Workflow."

4. Start Setup: When you're happy with the workflow details, click the "Start Setup" button.

Duplicate and Get Started!

That's it! Your new workflow has been created and is ready for you to customize further. You can now edit the questionnaire, upload a new template document, and make any other adjustments needed to complete your workflow.

Note: You can duplicate any type of workflow in SpotDraft (e.g., Template Workflows, Third-Party Paper Workflows). The process is the same for all.
