Generating Reports from the Repository

SpotDraft makes it easy to get a regular report on contracts based on different criteria. This guide will walk you through the steps to create a recurring report that delivers this information directly to your inbox.

Reports in SpotDraft are closely associated with a view. To schedule a report, you first have to create a new view.

  1. In the SpotDraft contract repository, choose the required set of filters. Once satisfied,  save this view for future use by clicking on "Save As New View" and giving it a descriptive name

  1. On the newly created view, click on the "Generate Report" button and select "Recurring Report" from the options.

  1. Choose your preferred frequency for the report:
    1. Daily: Receive the report every day.
    2. Weekly on Monday: Receive the report every Monday.
    3. Every 2 weeks on Monday: Receive the report every two weeks, on Monday.
    4. Every month on the 1st Monday: Receive the report on the first Monday of each month.
  2. Click on the "Schedule Report" button. You'll receive a notification confirming that the report has been successfully scheduled.

 

Understanding Your Report:

  • Each recurring report will include the details of all contracts that meet the criteria of your saved view. This means if you set up a report for contracts expiring within the next 30 days, you'll receive a list of those contracts, with their key information, on the frequency you selected.

Additional Tips:

  • You can customize your report by adding or removing columns in the "Manage Columns" section of your contract list.
  • SpotDraft will automatically update the report, so you'll always get the most recent information about your expiring contracts.
