Preventing Duplicate Contracts During Upload

To help keep your contract repository clean and accurate, SpotDraft alerts you if a contract you're uploading looks like a potential duplicate. This feature ensures users don’t accidentally create multiple contract records for the same agreement and instead upload new versions to the existing one.

Here’s how it works:

Step 1: Uploading a New Contract

Click “+New” from your dashboard and choose:

  • Upload for Review

  • Upload for Signature

  • Upload Executed Contract

Note: This feature is currently not available for bulk uploads or the “Others” contract type.

Step 2: Add Contract Details

  • Upload Your Document: Select and upload the file.

  • Enter Metadata: Select the contract type, counterparty name(s), and your organization entity.

Once this is done, SpotDraft will automatically check if there's an active contract with:

  • The same counterparty

  • The same contract type

  • A status that’s not deleted, voided, completed, or hard deleted

Step 3: Reviewing Potential Duplicates

If SpotDraft detects similar contracts:

  • You’ll see a message like “We found 2 similar contracts...”

  • The similar contracts will be listed with key details (name, status, user, date)

You’ll have two options:

✅ Upload as a New Version

Clicking "Upload New Version" will take you to the Summary page, where you can complete the upload to the selected contract as a new version.

📁 Continue as a New Contract

You can ignore the flag and continue uploading the document as a new contract entry instead.
