Assigning a Business User when creating a contract on someone else’s behalf

Introduction 

It's common for a legal team member to draft a contract that is ultimately owned by someone in a business department, like sales or marketing. Previously, assigning the business user required several extra steps after the contract was already created.

We have streamlined this process. Now, you can assign the correct "Business User" (the contract owner) directly during the contract creation workflow, ensuring ownership is correct from the very beginning and saving you valuable time.

Who is this guide for?

This guide is for any user who creates contracts on behalf of other people within their organization.

Why is this Change So Important?

This update eliminates unnecessary clicks and administrative steps, making your contract creation process more efficient and accurate.

The Old Way (The Problem):

  • Multiple Steps: You had to first create the contract, then navigate to the contract's details page.

  • Extra Clicks: From the details page, you had to find the Party Information card and edit Business User just to change the owner.

  • Inefficient: This multi-step process was time-consuming, especially when creating multiple contracts for different business users.

The New, Simpler Way (The Solution):

  • Assign on the Fly: You can now select the correct contract owner from a simple dropdown menu directly on the contract creation screen.

  • Fewer Clicks: The entire process happens in one seamless flow, without needing to navigate to other pages.

  • Immediate Accuracy: The contract is assigned to the correct Business User from the moment it's created, improving workflow routing.

How it Works in Different Workflows 

You can assign a Business User across all major contract creation workflows. Here’s how:

1. For Template-Based Contracts

When you are creating a new contract from a pre-existing template:

  1. Click + New and select Template Contract.

  2. Choose the template you wish to use.

  3. On the Party Information screen, under the "Your Company" section, you will see a Business User field.

  4. By default, this field is set to you. Simply click the dropdown menu and select the user on whose behalf you are creating the contract.

2. For Third-Party Papers (Upload for Review or Signature)

When you are uploading a document from a counterparty:

  1. Click + New and select a workflow like Upload third party contract, Send for signature or Upload Executed Contract.

  2. Upload the contract file.

  3. Select the appropriate Contract Type.

  4. Once the Contract Type is selected, the Business User field will appear. Click the dropdown to assign the correct owner.

Important Information

  • Feature on Request: This is an opt-in feature. To get started, please reach out to your Customer Success Manager (CSM) and ask them to enable it for your workspace.

  • Workspace-Wide: Once enabled, the Business User field will be available on all applicable contract creation workflows.

  • Permissions-Based: The list of users you can select from in the "Business User" dropdown is determined by the Creator access permissions configured for that specific Contract Type.
