Introduction 🚀
SpotDraft's Express Contracts feature allows you to create public, shareable links for your templates. This is perfect for standard agreements like NDAs, which you can post on your website for anyone to use. When someone uses the link, the person who copied the link is automatically assigned as the Business User (Owner) for that new contract in SpotDraft.
But what happens when you need to update the original template? This guide will walk you through how SpotDraft helps you review and apply your latest changes to ensure your public links are always up-to-date.
Who is this guide for?
This guide is for SpotDraft administrators and any user responsible for creating and managing workflows.
Why is this important?
Keeping your Express Contracts in sync with your latest workflow templates is crucial for:
Maintaining Consistency: Ensures all new contracts generated from a public link reflect the most current terms, conditions, and questions.
Reducing Risk: Prevents outdated or non-compliant versions of your agreements from being used by external parties.
Seamless Updates: The public link itself never changes, so you don't have to update it on your website or in your communications after making a change.
How to Review and Update Your Express Contracts
After you make any changes to a workflow's template or questionnaire, SpotDraft will immediately prompt you to review any associated Express Contracts to ensure they stay current.
Step 1: Navigate to the Express Contract Section
Within the workflow you just edited, find the "Additional Options" section in the left-hand navigation panel.
Click on Express Contract.
Step 2: Identify Contracts Needing Review
You will immediately see two clear indicators that a review is needed:
An amber banner at the top will state: "Express Contracts require review due to recent workflow changes."
Each outdated Express Contract in the list will have a yellow warning icon (⚠️) next to it.
Step 3: Begin the Review
- For each outdated contract, the main action button will change to Review. Click this button to begin.
Step 4: Check the Details
- You will be taken to a page where you can review the details and questionnaire answers for that Express Contract. This allows you to see how the new workflow changes might affect it and make any necessary adjustments.
Step 5: Complete the Review and Apply Updates
- Once you are satisfied, click the Complete Review button.
The warning icon (⚠️) will turn into a green checkmark (✅), confirming that the public link for that Express Contract is now updated and will generate contracts using the latest version of your workflow.
Important Notes đź’ˇ
What if I don't update an Express Contract? If you don't complete the review process, the public link will continue to work, but it will generate contracts using the OLD template. It is essential to complete the review to ensure compliance.
Unpublishing a Workflow: If you unpublish the entire workflow, all associated Express Contract links will become inactive and will no longer be accessible.
Multiple Counterparties: The Express Contract feature is designed for workflows with a single counterparty. It is not supported for workflows that involve multiple counterparties.
Expressing Interest: If you see a message that says "No Express Contracts found" and are interested in setting one up for a multi-counterparty workflow, you can click the "clicking here" link. This sends a notification to our team to let us know of your interest.
