Performing Bulk Operations on Contracts

Save Time with Bulk Actions: Managing Multiple Contracts at Once in SpotDraft

SpotDraft's bulk actions feature is your shortcut to efficient contract management. Instead of handling each contract individually, you can select multiple contracts and perform actions on them all at once.

How to Perform Bulk Actions:

  1. Select Contracts: Hover your mouse over the left corner of each contract listing in your SpotDraft repository. Click the checkbox to select the contracts you want to work with. You can select contracts across multiple pages!
  2. View Available Actions: Look at the row above your repository grid, beneath the search box. You'll see a display showing the number of contracts selected. Next to it, you'll find the available bulk actions.
  3. Choose Your Action: Click on the action you want to perform.

Common Bulk Actions:

  • Relate Contracts: Connect two contracts for better visibility and collaboration. (Note: You can only relate two contracts at a time).
  • Delete Contracts: Remove selected contracts from your repository. This is not a permanent change.
  • Assign Business User: Transfer ownership of selected contracts to another business user. This is useful when the original contract creator is unavailable or has left the organization.
  • Add Tags: Apply tags to multiple contracts to easily categorize and find them later.
  • Download Contracts: Download selected contracts in either .docx or .pdf format.
  • Perform Contract Diligence: Conduct due diligence and assessments on multiple contracts simultaneously.
  • Update Relations: Modify connections and associations between contracts.
  • Update Access: Adjust permissions and access levels for selected contracts.

Example: Assigning a Business User:

  1. Select Contracts: Choose the contracts you want to assign a new business user to.
  2. Click "Assign Business User": Select this action from the bulk action options.
  3. Enter User's Name: Type the name of the new business user.
  4. Confirm Assignment: Click "Next" to continue.
  5. Complete Assignment: Repeat steps 3 and 4 for each selected contract.
  6. Save Changes: Click "Save" to complete the assignment for all selected contracts.

Important Tips:

  • Read-Only Mode: Contracts that are in the "Signing" stage or that have already been signed are considered read-only and can only be downloaded as PDFs.
  • Bulk Download Restrictions: Contracts that either have the approval or access control restrictions will not be part of the bulk download email attachment.
