Navigating SpotDraft on Your Mobile Device

SpotDraft offers a mobile-optimized experience designed to help users perform essential, non-admin related contract tasks while on the go. Whether you're an approver, signatory, or a business team member, the mobile view provides quick access to your pending actions and contract information.

While the mobile experience is great for staying productive away from your desk, administrative functions and in-depth configurations are handled on the desktop version of SpotDraft.

This guide walks you through the core sections of SpotDraft's mobile interface and highlights what you can and cannot do on your mobile device, emphasizing the focus on day-to-day, non-admin operations.

Signing In

You can sign into SpotDraft on your mobile device using your registered email and password or through Single Sign-On (SSO). The mobile sign-in process is similar to the desktop experience and keeps you logged in for easy access.sign-in.png

Homepage

Your mobile homepage provides a quick overview of your pending tasks and ongoing contracts. It's optimized for you to see your assigned tasks and contracts quickly.Home page.png

  • Tasks Pending on You: See counts for different task types assigned to you or your team (Sign, Approve, Review, Setup Signatures, Custom Task). Tap on these cards to navigate to the Task Center.

  • Ongoing Contracts: View a list of ongoing contracts where you are a business user or involved in some capacity.

  • What is not supported:

    • Applying filters to the contracts list on the homepage (e.g., filtering executed contracts, ongoing contracts, or contracts owned by others).

    • Viewing contracts owned by others if you are not directly involved in them (the focus is on your pending items and relevant ongoing contracts).

Task Center

The Task Center is where you manage all tasks assigned to you or your team for day-to-day contract progress.task center.png

  • System Task Categories: System tasks are organized into categories (Sign, Approve, Review, etc.). You can expand or collapse these sections. You can also open the contract associated with the task.

    • Actioning Tasks: For tasks like Approvals, you can often take direct action (e.g., tap an "Approve" button) directly from the task list or the task details screen.
  • Viewing Custom Task Details: Tap on an individual task to see its specific details, including the associated document, date, and assignee.

    • Basic Task Management: You can mark tasks as completed, edit certain task details (like adding reminders or notes), and create new tasks.
  • What is not supported:

    • Filtering tasks by who assigned them ("Assigned By Me" is not a supported filter).

    • Sorting tasks within categories.

Repository

The Repository allows users to browse and search for contracts across the workspace based on your pre-configured views. Access it via the main navigation menu (hamburger icon, top left).Repository.png

  • Accessing Views: Navigate through different saved views (All Contracts, Ongoing Contracts, Clickthrough Contracts, Deleted Contracts, Demo View, etc.).

  • Viewing Contract Lists: See a list of contracts within the selected view, displaying columns configured in your view. You can scroll horizontally and vertically to view the contract list completely.

  • Searching Contracts: Use the search bar at the top to find contracts by key identifiers like title, counterparty, ID, business user, or tags.

  • Navigating Pages: Move between pages of the contract list.

  • What is not supported:

    • Creating, editing, or deleting Repository views.

    • Applying additional filters within these views (beyond the pre-defined view filters set up by admins).

    • Sorting columns in the contract list.

    • Managing which columns are displayed.

    • Searching contract text content (search is limited to metadata and key identifiers).

    • Generating reports.

    • Performing bulk actions on contracts.

Contract Details Page

Tapping on a contract from the Repository, Homepage or Task Center opens its details page, providing access to information relevant to a non-admin user's involvement.contract details page (1).png

  • Viewing Information: Access different tabs (Status, Information, Activity Logs) to view details about the contract, including its current status, party information, key metadata from the intake form, and activity history.

  • Viewing the Contract Document: Tap "View Contract Document" to open a preview of the contract file.

  • Reviewing Details: See details about recipients, approvals required (if any), and internal reviews.

  • What is not supported (Admin/Configuration):

    • Directly editing the contract document using an in-browser editor (like OnlyOffice). Document editing is primarily a desktop function.

    • Preparing the contract for signing (placing signature fields)

Note: For the best experience viewing contract details on your mobile device, please ensure you are using the updated view in SpotDraft. The mobile interface is specifically optimized for this view, so if you are currently in the Classic view, switching to the new view will significantly improve your mobile experience.

Contract Creation

You can initiate the creation of new template contracts or upload third-party papers from your mobile device.TPP.png

  • New Contract Options: Create contracts using "Template Contract," "Upload third party contract," and "Send for signature" flows.template contracts.png

  • Initiating Creation/Upload: Tap on an option to begin the process. For template contracts or uploads, you'll be guided through providing basic required information (like selecting the template, uploading the file, or filling in essential intake form fields).

  • What is not supported:

    • Creating contracts using an Express Contract link or creating Campaign contracts

    • Uploading previously executed contracts

Desktop-Only Features and Unsupported Areas on Mobile

While the SpotDraft mobile experience is designed for convenience on the go, certain administrative, setup, and less frequent functions are not available. These are typically areas best managed from a desktop computer.

The following areas are not supported on the SpotDraft mobile application:

  • Manage Tab:
    • Workflow Manager (configuring workflows, approvals, conditions, etc.)
    • Campaign Tracker
    • Contract Types (managing or editing contract type settings)
    • Contract Attributes (managing contract metadata fields, counterparties, clause library, stamp inventory)
  • Managing Clickthroughs: Creating or managing Clickthrough Packet configurations.
  • Analytics: Accessing contract analytics and reporting dashboards.
  • Settings Tab:
    • Workspace Profile settings
    • Entity management
    • Access Control configurations
    • Developer Settings
    • Integrations management
    • Security and Identity settings
  • Notification Preferences
  • Chat: The real-time chat feature for collaboration.
  • Command+K Shortcut: The global search and action shortcut available on the desktop platform.

These functionalities are exclusively available on the SpotDraft desktop web application to ensure a comprehensive and controlled management experience.

The SpotDraft mobile experience is optimized for day-to-day tasks for users who need to quickly access and act on contracts and tasks from their mobile devices, leaving administrative and in-depth configuration to the desktop platform.
