Starting July 7, 2025, SpotDraft system emails are getting a major upgrade. The update focuses on making emails easier for recipients to understand and act on, while giving admins direct control over content and branding without needing support.
Redesigned Email Layouts for Clarity and Action
System-generated emails have been redesigned for better clarity and consistency. All emails now follow a standardized layout with a simplified content block. Where relevant, a new table highlights key contract details like title and status. These updates will apply automatically once the feature is enabled.

Branding Control at Workspace and Entity Levels
Admins can configure how emails appear visually. This includes uploading a logo for the email header and setting button background and text colors to reflect your brand. Branding can be managed at two levels:
- Workspace-level: Settings → Workspace Profile → Email Styling
- Entity-level: Settings → Entity Settings → Email Styling
Entity-level settings override workspace-level configurations for emails sent from that legal entity.

Content Customization via Workflow Manager
Admins can now modify email content directly from the Workflow Manager. This includes editing the subject line, email body (with formatting and variables), CTA button label, and toggling the additional information table.
To access these settings:
Workflow-level: Manage → Workflow Manager → Select Workflow → Email Settings
Note: Customizations apply only to contracts created after publishing the updated workflow.

Personalization Using Email Variables
Emails can be personalized using dynamic variables that pull directly from contract data. These variables can be inserted into both subject lines and email bodies. The supported variables include:
- Contract title
- Counterparty name
- Reference ID
- Sender and recipient names or emails
If a variable has no value for a specific contract, it will automatically be excluded from the email.
Send-Time Editing
For select email types, such as contract review or sharing an executed contract, the send interface now shows pre-filled content based on the workflow configuration and allows last-minute edits.
Previously, users had to choose between two modes using a dropdown:
Custom Text: Editable at send-time but unstyled. The default language could not be set at the workflow level.
Standard Template: Styled and supported workflow-based defaults, but did not allow send-time editing. Updates required support intervention.
These modes have now been consolidated. Admins define the email content within the workflow, and the same version is rendered during sending. Users can make edits as needed. The dropdown selector has been removed for a simpler, unified experience
Supported Email Types for Content Customization
Content customization is currently supported for the following counterparty-facing emails:
- Contract sent for counterparty review
- Contract sent for signature
- Signature request (express)
- Contract voided
- Contract executed
- Share executed contract
Internal emails, such as approval requests or reminders, are not yet customizable.
