Setting Up a Workflow with Multiple Questionnaires in SpotDraft

SpotDraft's workflow manager lets you create efficient contracts by gathering information from different teams using questionnaires. This is especially helpful when you need input from several stakeholders before sending the contract to your counterparty. Let's walk through the steps to set up a workflow with multiple questionnaires, making your contract process smoother and more organized.

Step 1: Accessing the Workflow Manager

  1. First, you'll need to find the "Workflow Manager" section in SpotDraft. It's typically located in your main navigation menu.
  2. Click on the name of the workflow you want to set up questionnaires for. For example, let's say we're working with a workflow called "Procurement Agreements".

Step 2: Setting Up Your Questionnaires

  1. Click the 'Set Up Document & Questionnaire' tab: This is where you'll create and manage questionnaires for your workflow.
  2. "Your Company" and "Counterparties": You'll see two sections: one for your company and one for counterparties. You will already have a default questionnaire set up for each.
  3. Adding a New Questionnaire: To add a new questionnaire, click the "Add Additional Questionnaire" button.
  4. Name Your Questionnaire: Enter a clear and descriptive name for your questionnaire.
  5. Save: Click "Save" to create the new questionnaire.
  6. Managing questionnaires: You can add more questionnaires to your workflow, you can also rename and delete existing questionnaires.

NOTE: You can rename the launch questionnaire but you cannot delete it

Step 3: Building Your Questionnaires: Sections and Questions

  1. Questionnaire Builder: You'll be taken to the Questionnaire Builder, where you'll add sections and questions.
  2. Adding Sections: Click "Add Section" to group related questions together. This helps keep your questionnaire organized.
  3. Adding Questions: Click "Add Question" to add a question to your section. 
  4. Complete your questionnaire: Add more sections and questions as per your requirement for this questionnaire

Step 5: Publishing Your Workflow

  1. Publish Workflow Button: You're almost done! Click the "Publish Workflow" button.
  2. Confirmation: SpotDraft will ask you to confirm that you want to publish the workflow. Click "Yes, Publish Workflow". 

You've now successfully created a workflow with multiple questionnaires, ready for your team to use!
