Improved Naming for Express Contracts in SpotDraft Workflows

We're making an update to how contracts created via Express Contracts are titled within SpotDraft. This change will make it easier for users to identify and differentiate these contracts in their repository.

Understanding the Naming Update

Previously, when an Express Contract link was used to create a contract, the Contract Title (the name of the contract visible to the creator party users) of that contract in SpotDraft was the External Name configured in the Express Contract setup. This made it difficult for users to quickly distinguish between different contracts created through the same Express Contract link just by looking at their titles within SpotDraft.

Template workflows in SpotDraft already allow administrators to set up custom Contract Title formats for contracts based on variables (like Counterparty Name, Date of Creation, Creator Party Entity, etc.).

The Upcoming Update Explained

The Contract Title for contracts created via an Express Contract link will now automatically follow the dynamic naming convention you have configured in the associated template workflow.

Advantages of the New Naming System

This update directly improves the usability of Express Contracts:

  • Easier Identification: Contracts created from Express Contracts will now have informative titles in your SpotDraft repository based on the details of that specific contract (e.g., "NDA with [Counterparty Name]" or "[Date] - [Counterparty Name] Agreement").

  • Improved Organization: It will be much simpler to sort, search for, and manage contracts initiated via Express Contracts.

Recommended Steps

While this change is a significant improvement, we recommend reviewing the workflows that utilize Express Contracts.

  • Check Your custom Contract Title format: Ensure that the custom Contract Title format in your Express Contract template workflows is configured as you intend, as this is what will now be used for the Contract Titles of contracts created via those links. For more details on how to configure custom Contract Title format you can refer to this help center article.

  • Note: If you do not set up a specific "Contract Title Format" in your workflow settings, the Contract Title for contracts created from that workflow (including Express Contracts) will default to the name of the workflow itself.

This change is being implemented to provide a better and more organized experience for managing your Express Contracts.
